When specifications are incomplete or vague, the gaps usually don't disappear. They show up later as pricing discrepancies, unanswered questions, change orders, delays, and disagreements over what was originally included.

What Are Construction Specifications?
Construction specifications, often simply called "specs," are written documents that describe the materials, products, workmanship, performance requirements, and scope associated with a construction project.
Think of the drawings and specifications as complementary documents.
Drawings show what is being built. Specifications explain how it is expected to be built and what is included.
For example, a drawing might show hardwood flooring throughout the main floor. The specification can establish:
Flooring type and approximate quality level
Areas where the flooring is included
Supply and installation responsibilities
Installation requirements
Allowances when the final product hasn't been selected
Subfloor preparation requirements
Transitions and related accessories
Items specifically excluded from the price
On a custom home, hundreds of similar decisions exist across the project.
A good specification organizes those decisions into something the builder, homeowner, estimator, and trades can actually use.
1. Start With the Drawings
Specifications shouldn't be written in isolation.
Begin with the architectural drawings and any available structural, mechanical, electrical, interior design, landscape, or civil documents.
Review the drawings systematically and identify the major components of the project.
For a custom home, your specification might include sections for:
Site work and services
Excavation and grading
Foundations and concrete

Supply and install hardwood flooring.
A more useful specification might establish:
Supply and install engineered hardwood flooring throughout the main-floor areas indicated on the drawings. Include manufacturer-recommended underlayment, transitions, reducers, adhesives, and installation accessories. Final manufacturer, colour, plank size, and finish to be selected by the owner within the flooring allowance.
The goal isn't necessarily to make every specification long.
The goal is to eliminate important ambiguity.
3. Separate Known Information From Future Selections
Custom homes are rarely completely selected when pricing begins.
Cabinet hardware may not be chosen. Tile could still be under review. Plumbing fixtures might only have an approximate budget.
Don't pretend those decisions have already been made.
Instead, clearly distinguish between:
Specified items — Products, materials, systems, or requirements that have already been established.
Allowances — Budget amounts assigned to items that haven't been fully selected.
Owner selections — Decisions that still need to be made during the project.
To be determined — Scope requiring additional design, engineering, investigation, or client direction before it can be finalized.
This makes the specification an accurate representation of what is actually known at that stage of the project.
4. Use Allowances Carefully
Allowances are extremely useful in custom residential construction, but poorly defined allowances can create just as much confusion as missing specifications.
An allowance should explain more than a dollar amount.
Where possible, identify:
What the allowance covers
Whether it includes material only or material and labour
Applicable rooms or quantities
Whether taxes, delivery, freight, or installation are included
What happens if the final selection exceeds the allowance
For example, "$25,000 plumbing allowance" leaves plenty of room for interpretation.
Is that fixtures only? Does it include faucets? Toilets? Shower systems? Sinks? Delivery? Installation?
The clearer the allowance basis is at the beginning, the easier it becomes to manage the budget later.
5. Define Quality and Performance Without Overspecifying
Custom home specifications need enough detail to establish expectations without locking the project into unnecessary requirements.
Where an exact product has been selected, identify it.
Where it hasn't, define the expected quality, performance, or pricing level.
For example, rather than inventing a specific faucet model before the homeowner has made a selection, the specification might establish an allowance based on premium residential plumbing brands and define the fixtures included within that allowance.
This provides estimators with a realistic pricing basis while preserving flexibility for the homeowner.
6. Clarify Supply and Installation Responsibilities
Many construction scope gaps happen at the boundaries between trades.
Who supplies the fireplace?
Who installs it?
Who provides the electrical connection?
Who frames the chase?
Who completes the stone surround?
Who provides the mantle?
A good specification considers these interfaces.
The same applies to cabinetry, appliances, shower glass, specialty lighting, home automation, landscaping, and owner-supplied products.
Whenever multiple parties touch the same component, responsibilities should be clear.
7. Identify Exclusions
A good specification doesn't only describe what's included.
It should also identify meaningful exclusions.
Typical examples might include:
Landscaping beyond rough grading
Window coverings
Furniture
Security monitoring
Specialty AV equipment
Utility connection charges
Owner-supplied appliances
Work outside defined property limits
The exact exclusions will vary by project and contract.
The purpose isn't to create an enormous disclaimer. It's to prevent something reasonably expected by one party from being assumed to be included when it isn't.
8. Capture Existing Conditions on Renovations and Additions
For renovations, additions, and major remodels, specifications need another layer of information: existing conditions.
Before writing the scope, document what is already there.
This may include:
Existing structure
Mechanical systems
Electrical service
Plumbing
Foundations
Insulation
Hazardous materials
Existing finishes
Site access
Items being reused or protected
Unknown existing conditions should be identified as unknown rather than silently assumed.
That distinction becomes extremely important once demolition begins.
9. Coordinate the Specification With the Estimate
Specifications shouldn't live separately from the project budget.
Every major scope item described in the specification should have a logical place in the estimate.
If the specification includes a whole-home water filtration system but the estimator doesn't carry a cost for it, the specification hasn't protected the budget.
Likewise, if the estimate contains a significant cost that can't be traced back to the drawings or specification, the scope may not be clearly communicated.
A strong preconstruction process connects:
Drawings → Specifications → Estimate → Selections → Procurement → Construction
Each stage should build from the same project information.
10. Treat Specifications as a Living Document
Custom homes evolve.
Clients make selections. Engineering changes. Products become unavailable. Site conditions are discovered. Details get refined.
Specifications should be updated as those decisions occur.
That doesn't mean silently rewriting the original contractual scope. Changes affecting price, schedule, or contractual obligations should still follow the project's change-management process.
But the current project information should remain organized and accessible to the people responsible for delivering the work.
What Makes a Good Custom Home Specification?
The best residential specifications aren't necessarily the longest.
They're the ones that make the project easier to understand.
Before considering a section complete, ask:
What are we providing?
Where does it apply?
What material or product standard is expected?
Who supplies it?
Who installs it?
How is it being priced?
Is there an allowance?
Does the client still need to make a selection?
Are there meaningful exclusions?
Does another trade interact with this scope?
Does anything need to be field verified?
Are we making an assumption that should be documented?
If those questions are answered, the specification becomes much more valuable to everyone involved.
